Running a manpower agency on spreadsheets? 6 signs it is time to change

Security agencies, facility management firms and labour contractors run on thin margins and many moving parts: workers spread across client sites, wages that change by state and skill, and compliance every single month. Spreadsheets work at first. These six signs mean they have stopped working.

1. Attendance arrives as WhatsApp photos and paper registers

When supervisors send photos of registers at month-end, someone in the office has to type them in, and nobody can prove who was really at which site. Site-level attendance with location and a selfie removes both the typing and the doubt.

2. Minimum wage revisions are applied by hand

Minimum wages differ by state, skill category and zone, and they are revised. If one person updates rates in a spreadsheet, a missed revision means underpaid workers, unhappy clients and penalties. Rates should live in one place, with the notification they came from.

3. Month-end payroll takes days, not hours

If salaries depend on collecting attendance from every site, correcting it, and then calculating overtime and deductions by hand, payroll will always be late. Software that pulls attendance straight into payroll turns days into hours.

4. PF, ESIC and PT depend on one person

When statutory calculations live in one employee's spreadsheet, the agency is one resignation away from a compliance problem. Contributions should be calculated with every payroll run, the same way every time.

5. Clients ask for registers and you scramble

Principal employers and inspectors ask for muster rolls and wage registers. If producing them means a weekend of copying and formatting, the registers should come straight out of the system, ready to export.

6. Workers call the office to ask about their pay

Workers who cannot read an English payslip, or never receive one, call supervisors and the office. Payslips in Marathi or Hindi on a phone answer most of those questions before they are asked.

Contract worker management software links every worker to a client and site, proves attendance at the site, applies the right minimum wage, calculates statutory contributions and produces registers on demand. That is what we are building in RootWave CWM, launching soon for manpower providers in Maharashtra.
